Scheduling & Cancellation Policy
Medical Assembly Pros values our customers' time and works hard to provide reliable, on-time service. To ensure efficient scheduling and minimize disruptions, we ask that all customers review and comply with the following Scheduling & Cancellation Policy.
1. Appointment Scheduling
- Appointments are scheduled based on technician availability and service location.
- Appointment dates and estimated arrival windows will be confirmed prior to the scheduled service.
- While we strive to arrive within the scheduled time window, unforeseen delays such as traffic, weather, emergency service calls, or previous job overruns may affect arrival times.
- Medical Assembly Pros will make every reasonable effort to notify customers of significant delays.
2. Customer Responsibilities
To ensure a successful service appointment, customers are responsible for:
- Providing safe and unobstructed access to the service location.
- Ensuring all equipment is available and ready for service.
- Having an authorized representative available during the appointment if required.
- Providing any necessary site information, access codes, or special instructions before the scheduled appointment.
- Ensuring the work area is safe and prepared for the scheduled service.
If these requirements are not met, the appointment may be considered a missed appointment and additional charges may apply.
3. Rescheduling Appointments
Customers may reschedule an appointment by contacting Medical Assembly Pros at least 24 hours before the scheduled appointment.
Rescheduling requests received with less than 24 hours' notice will be accommodated when possible but may be subject to additional scheduling or cancellation fees.
4. Cancellations
Appointments canceled with less than 24 hours' notice may be subject to a cancellation fee.
Custom-ordered parts, travel expenses, hotel accommodations, and other costs incurred specifically for the scheduled appointment may also be billed if they cannot be recovered.
5. Missed Appointments (No-Shows)
If our technician arrives at the scheduled appointment and is unable to perform the work because:
- No authorized representative is available,
- The facility is closed,
- Access to the work area is unavailable,
- Required equipment is unavailable,
- The site is not ready for service, or
- The customer otherwise prevents the scheduled work from being completed,
the appointment will be considered a Missed Appointment (No-Show).
Missed appointments will be billed a minimum fee of $150.00, or the applicable service call charge, whichever is greater. Additional labor, travel, reserved technician time, specialized equipment, lodging, or other project-related costs may also be billed when applicable.
6. Emergency & After-Hours Service
Emergency, after-hours, weekend, and holiday service appointments are subject to technician availability and may be billed at premium labor rates.
7. Delays Beyond Our Control
Medical Assembly Pros is not responsible for delays caused by circumstances beyond our reasonable control, including but not limited to severe weather, natural disasters, road closures, supplier delays, power outages, facility restrictions, or other unforeseen events.
If necessary, appointments affected by these events will be rescheduled at the earliest available opportunity.
8. Technician Safety
Our technicians reserve the right to postpone or cancel work if they determine that the work environment is unsafe or poses a risk to personnel, equipment, or property.
Any return visit required after unsafe conditions have been corrected may be subject to additional service charges.
9. Right to Refuse Service
Medical Assembly Pros reserves the right to refuse or discontinue service if unsafe working conditions exist, abusive or threatening behavior occurs, payment obligations have not been met, or the requested work falls outside the agreed scope of service.
